Policies
At Commissioned Paintings, every painting is individually hand painted by skilled artists using traditional oil painting techniques. Because each order is custom made, our policies are designed to ensure a clear, fair, and transparent experience from order placement through final approval and delivery.
By placing an order with Commissioned Paintings, you agree to the policies outlined below.
1. Custom Hand-Painted Artwork
All paintings ordered through Commissioned Paintings are custom, made-to-order works of art. Each piece is painted by hand using oil paints on canvas. Because our artists do not use printing, tracing, or machine reproduction as a final product, every painting will have natural artistic variation.
For custom paintings from photo, the final artwork is an artistic interpretation of the submitted image. For museum masterpiece replicas, the final artwork is a hand-painted recreation inspired by the original artwork.
While our artists work carefully to capture the subject, mood, color, and composition of the selected image or masterpiece, no hand-painted work can be guaranteed to be an exact photographic copy.
2. Museum Masterpiece Replicas
Museum masterpiece replicas are hand-painted recreations inspired by famous works of art. These paintings are intended for decorative, personal, and educational enjoyment.
Commissioned Paintings does not claim that any replica is an original artwork, an authorized museum product, or a work created by the original artist. Replicas are not sold with museum provenance, artist attribution, original signatures, certificates of authenticity for the original work, or any representation that they are antique or original pieces.
We reserve the right to decline requests to reproduce artwork that may be protected by copyright, trademark, licensing restrictions, artist estate rights, or other legal limitations.
3. Customer Photo Submissions
For custom oil paintings from photo, customers are responsible for submitting clear, high-quality reference images. The better the photo, the better the final painting can be.
By uploading a photo, you confirm that:
You own the image or have permission to use it.
The image does not violate any third-party rights.
You authorize Commissioned Paintings and its artists to use the image solely for the purpose of creating your commissioned artwork.
We may contact you after your order is placed if the submitted photo is unclear, low resolution, cropped, poorly lit, or otherwise unsuitable for the requested painting.
4. Artistic Interpretation
Each commissioned painting is created by hand, which means some variation from the reference image should be expected. Variations may include brushwork, texture, color tone, lighting, background interpretation, facial expression, proportions, and level of detail.
These variations are part of the custom painting process and are not considered defects.
Customers may provide special instructions at the time of order, such as background changes, color preferences, style preferences, clothing adjustments, or requests to remove or add certain elements. We will do our best to follow these instructions when they are clearly provided.
5. Order Review and Courtesy Consultation
After an order is placed, our team may review the submitted information and contact you if clarification is needed. For certain custom painting orders, we may offer a courtesy consultation by phone or email to better understand your preferences.
This consultation is intended to help guide the painting process, but it does not replace the written order details submitted by the customer. Please make sure all important instructions are included in your order or sent to us in writing.
6. Production Timeline
Most paintings require approximately 4–6 weeks for the artist to complete. Larger, more complex, highly detailed, or heavily customized paintings may require additional time.
Estimated delivery windows may also vary depending on customer response time during the approval process, framing or stretching selections, varnish drying time, packaging requirements, and shipping transit times.
Production timelines are estimates and are not guaranteed unless specifically agreed to in writing.
7. Approval Process
Before your painting is shipped, we will provide a photo of the completed artwork for your review and approval.
This approval stage is your opportunity to request reasonable modifications before the painting is finalized and shipped. We want you to be happy with your artwork and will work with you in good faith to address concerns related to the approved order details.
Once you approve the painting, the order moves into final preparation, which may include drying, varnishing, stretching, framing, packaging, and shipping.
8. Modification Requests
Modification requests must be made during the approval stage, before the painting is shipped.
Reasonable modifications may include adjustments to color, lighting, background, facial details, small composition elements, or other refinements that are consistent with the original order.
Major changes may not be included as standard modifications if they significantly alter the original request. Examples include changing the main reference photo, adding new subjects, changing the entire background after painting has begun, changing the requested style, changing the painting size, or requesting a completely new composition.
If a requested change is outside the original scope of the order, additional charges or extra production time may apply.
9. Satisfaction Guarantee Before Shipment
We offer a customer approval process before shipment. If you are not satisfied with the painting during the approval stage, we will work with you on reasonable modifications.
If, after good-faith modification efforts, you still do not approve the final painting, you may request a refund before the painting is shipped.
Once a painting has been approved and shipped, it is considered accepted by the customer and is no longer eligible for refund due to artistic preference.
10. Cancellations
Because each painting is custom made, cancellation eligibility depends on the stage of production.
Orders may usually be cancelled for a full refund only if work has not yet begun.
Once the artist has started sketching, preparing materials, or painting, cancellation may not be eligible for a full refund. A partial refund may be offered at our discretion based on the amount of work completed, materials purchased, and production costs already incurred.
Once a painting has been completed or sent for approval, the order cannot be cancelled as a standard cancellation request.
11. Returns
Because commissioned paintings are custom-made items created specifically for each customer, we do not accept standard returns after approval and delivery.
Approved custom artwork, museum replica orders, framed paintings, stretched canvases, varnished paintings, and personalized pieces are considered final sale once shipped.
Returns are only considered in cases of shipping damage, manufacturing error, or a confirmed issue that differs materially from the approved order.
12. Refunds
Refunds may be issued only under the conditions stated in these policies.
Refunds are not available for:
Approved paintings after shipment.
Customer change of mind after approval.
Minor artistic variation.
Color differences caused by screen settings or lighting.
Delays caused by customer response time.
Incorrect information submitted by the customer.
Reference photos that were low quality or unclear.
A refund may be considered if the painting is not approved during the pre-shipment approval process and reasonable modification efforts have not resolved the concern.
13. Shipping
We carefully package each painting for shipment. Delivery times vary based on destination, painting size, framing selections, and carrier service.
Large paintings, framed paintings, and stretched canvases may require special packaging or oversized shipping. In some cases, shipping may be completed in multiple packages if accessories, frames, or related items are shipped separately.
Customers are responsible for providing a complete and accurate shipping address. We are not responsible for delays, return fees, or delivery issues caused by incorrect or incomplete address information.
14. Shipping Damage
If your painting arrives damaged, please contact us as soon as possible and provide clear photos of the damage, packaging, shipping label, and the full item received.
Damage claims must be submitted promptly so we can review the issue and work with the carrier when applicable.
Please keep all packaging materials until the claim is resolved. The carrier may require inspection of the original packaging.
Depending on the situation, we may offer a repair, replacement, remake, partial refund, or other appropriate solution.
15. Framing, Stretching, and Varnish
Customers may select optional stretching, custom framing, and varnish services when available.
Because these services are completed specifically for each painting, they are considered part of the custom order and are not separately returnable after approval.
Frame color, finish, canvas texture, varnish sheen, and final appearance may vary slightly depending on lighting, screen settings, material availability, and the handmade nature of the product.
16. Size and Color Variation
All sizes are approximate. Minor variation may occur due to canvas preparation, stretching, framing, trimming, or the handmade nature of the artwork.
Colors may appear different in person than they do on a phone, tablet, or computer screen. Screen brightness, display settings, photography lighting, and varnish sheen can all affect how colors appear.
Reasonable color and size variation is not considered a defect.
17. Customer Responsibilities
Customers are responsible for:
Submitting accurate order details.
Uploading suitable reference images.
Reviewing all order options before checkout.
Responding to approval requests in a timely manner.
Reviewing the completed painting carefully before approval.
Providing a correct shipping address.
Notifying us promptly of any delivery issue or damage.
Delays in customer response may extend the production or shipping timeline.
18. Intellectual Property and Image Rights
For custom paintings from photo, customers retain ownership of their original submitted photos. By submitting an image, you grant Commissioned Paintings permission to use the image for the limited purpose of creating your commissioned painting.
Commissioned Paintings retains rights to photographs of the finished artwork unless otherwise agreed in writing. We may use images of completed paintings for portfolio, marketing, website, social media, or promotional purposes.
If you prefer that your commissioned painting not be used publicly, please notify us in writing before the order is completed.
19. Prohibited Content
We reserve the right to refuse any order at our discretion.
We may decline orders involving copyrighted artwork, celebrity images, living artists’ works, offensive content, explicit imagery, unlawful content, images that violate privacy rights, or any request that we believe may infringe on the rights of another person or entity.
20. Pricing and Payment
Full payment is required before production begins unless otherwise agreed in writing.
Prices are based on painting size, complexity, selected options, framing, stretching, varnish, and any additional customization requested.
If a customer requests changes outside the original order scope, additional charges may apply.
21. Changes After Order Placement
Please contact us as soon as possible if you need to change your order.
We will do our best to accommodate changes before production begins. However, once materials have been prepared or painting has started, changes may not be possible or may require additional fees.
Changes to size, subject, reference photo, style, composition, framing, or shipping details may affect the production timeline.
22. Delays
We make every effort to complete orders within the estimated timeline. However, delays may occur due to complexity, revision requests, customer response time, drying time, material availability, framing, shipping carrier delays, weather, holidays, or other circumstances outside our control.
We will communicate important delays whenever possible.
23. Communication
Most order communication will take place by email or phone. Please make sure your contact information is accurate when placing your order.
Failure to respond to approval requests or production questions may delay your order.
If we are unable to reach you for an extended period of time, we may pause production or proceed based on the information already provided.
24. Final Approval
Customer approval confirms that the painting is accepted and ready for shipment.
Once a painting is approved and shipped, it is no longer eligible for refund, cancellation, or additional free modifications based on artistic preference.
Please review the approval photo carefully before giving approval.
25. Policy Updates
Commissioned Paintings reserves the right to update or modify these policies at any time. The policies in effect at the time an order is placed will generally apply to that order unless otherwise required by law or agreed to in writing.
